We are looking for an Office Coordinator to join our client, a well-established law firm based in Dublin on a 6-month contract.
As the Office Coordinator, you will be responsible for ensuring seamless access to a range of services such as Records Management and Distribution Services as well as represent Front of House and be accountable for improving the day-to-day working experience of employees.
This opportunity would be ideal for someone who is a Legal Assistant, a Law Graduate, or a Workplace Coordinator / Office Assistant looking to gain experience in the Legal sector.
Main responsibilities:
- Manage and distribute daily post and record all registered letters in a logbook
- Log scanned DX and An Post incoming mail in the Incoming Post Data Excel spreadsheet
- Log incoming cheques in a shared spreadsheet and email daily updates to the client
- Upload incoming digital media to OneDrive and organise access for the assigned solicitor or secretary
- Book couriers using Deadline Couriers, log bookings in a shared spreadsheet and verify monthly invoices against bookings
- Forward incoming emails from the Dublin Reception email to the relevant fee earners
- Check the court stamping spreadsheet for discrepancies and notify the client via email of any findings
- Provide additional administrative support to legal teams and fee earners as needed
- Print, check, and distribute Law Society invoices to secretaries and request payment to be processed
- Support with Records Management in line with the Records Management policy
- Support the wider Paragon team with ad-hoc printing and ensure Court Lodgements are recorded, processed and dealt with in line with the client's requirements
Required skills:
- Experience in Couriers/Mailroom/Logistics Is desired but not essential
- Able to work on own initiative and as part of a team
- Excellent customer service and communication skills
- Proactive, ability to learn quickly with an eye for detail
- Problem-solving skills
- Strong IT skills, competent in Microsoft Office applications to intermediate level
- Flexible to change shifts at short notice if required
- Confident, positive and professional approach with a can-do attitude and a solution-orientated manner
